About the Role

Employment Type: Full-time | Hybrid

Wellington Advocacy is seeking a senior-level Executive Assistant to provide disciplined, reliable, and highly responsive support to the firm’s leadership team. This role is designed for an experienced executive support professional who is comfortable operating in a structured governance environment where oversight, alignment, and precision are critical.

The Executive Assistant will support senior leadership by ensuring priorities are executed accurately, information flows are tightly managed, and leadership directives are translated into action. While the role carries meaningful responsibility and visibility, it is grounded in execution excellence, follow-through, and trust-building. Autonomy increases over time as confidence and institutional knowledge are established.

This position is best suited to a professional who values clarity, accountability, and partnership, and who understands that credibility is earned through consistency, discretion, and performance.

Key Responsibilities

Executive Support & Priority Management

  • Provide structured, high-reliability support to senior leadership, including calendar management, meeting coordination, and preparation of materials aligned with leadership direction.
  • Execute leadership requests with accuracy and timeliness, ensuring priorities, deadlines, and follow-ups are clearly tracked and completed.
  • Support meeting preparation through agendas, briefing materials, background documentation, and post-meeting action tracking.

Governance, Process & Execution Discipline

  • Operate effectively within a governance-driven environment, ensuring leadership and Board-related requests are handled with precision and transparency.
  • Maintain orderly systems for files, records, and client information to support oversight, continuity, and auditability.
  • Follow established processes while identifying opportunities to improve efficiency, subject to leadership direction and approval.

Stakeholder & Communications Coordination

  • Serve as a professional point of coordination for internal and external stakeholders, including clients, political offices, and senior officials.
  • Draft and manage correspondence and materials at the direction of leadership, ensuring accuracy, tone alignment, and confidentiality.
  • Ensure communications and deliverables are responsive, traceable, and aligned with leadership expectations.

Meetings, Events & Assigned Initiatives

  • Coordinate leadership meetings, Board-related sessions, and stakeholder engagements with a high degree of logistical precision.
  • Support events, retreats, and special initiatives by managing inputs, schedules, and execution under leadership guidance.
  • Take ownership of defined tasks and projects, escalating issues appropriately and providing regular status updates.

Experience & Qualifications

  • Post-secondary education in business administration, public policy, political science, communications, or a related discipline.
  • 10+ years of progressive experience supporting senior executives in government, public affairs, professional services, or similarly complex environments.
  • Demonstrated ability to operate with discretion, maturity, and sound judgment when handling confidential and sensitive information.
  • Exceptional organizational and prioritization skills, with the ability to manage ambiguity and shifting demands.
  • Strong written and verbal communication skills, including experience producing materials for executive-level audiences.
  • High level of proficiency with Microsoft Office (Outlook, Word, PowerPoint, Excel); comfort with CRM systems and digital workflows is an asset.
  • Bilingualism (English/French) is an asset.
