Wellington Advocacy is seeking a highly organized and experienced Administrative Assistant. This role is ideal for a proactive, detail-oriented professional with a strong background in executive support, project coordination, and stakeholder management within a fast-paced, political or corporate environment. Working closely with the Management Team, this role ensures the smooth operation of internal processes and external client engagements. 

The Role:

  • Provide high-level administrative support to leadership, including calendar management, travel coordination, and meeting preparation.
  • Manage internal and client-facing communications, including scheduling and correspondence.
  • Maintain accurate records, files, and client databases to ensure timely follow-up and organizational efficiency.
  • Liaise professionally with clients, political offices, and internal teams to ensure seamless coordination.
  • Contribute to the planning and execution of events, stakeholder meetings, and special projects.

Qualifications:

  • Post-secondary education in business administration, political science, communications, or a related field.
  • 10+ years of progressive experience in senior administrative roles, preferably in government, public affairs, or executive support.
  • Exceptional organizational and time management skills, with the ability to prioritize multiple tasks under tight deadlines.
  • Strong written and verbal communication skills, including experience preparing professional documents for high-level audiences.
  • Proven ability to manage confidential information with discretion.
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook); CRM knowledge is an asset.
  • Bilingualism (English/French) is an asset.
